Start with the asset scope

Gather the approximate quantity and identify whether the load contains laptop drives, desktop HDDs, enterprise server drives, SSDs, tapes, or mixed media. The more accurately the media is described, the easier it is to choose the right containers, inventory approach, and destruction method.

If the drives are still installed in servers or workstations, say so when requesting service. A decommission may require equipment disassembly before the media can be logged, secured, and destroyed.

Choose pickup or witnessed service

Off-site pickup is appropriate for many routine refreshes and cleanouts. For sensitive environments, on-site witnessed destruction lets an authorized representative observe the process before the media leaves the building. Both options can use the same documented inventory and certificate workflow.

Tell the project coordinator about security desks, elevator restrictions, loading access, and any need for tamper-evident staging. These details reduce delays and keep the chain of custody clear from the first handoff.

Match the method to the media

Magnetic hard drives and solid-state drives do not store data in the same way. A method that is effective for magnetic platters is not automatically sufficient for flash memory. The project plan should distinguish HDDs, SSDs, removable media, and backup devices before processing begins.

When multiple methods are used on one load, the certificate should identify the media categories and the method applied. That gives an IT or records reviewer a useful explanation instead of a generic statement that equipment was recycled.

Close the asset-retirement loop

After destruction, retain the certificate with the asset-retirement record, purchase or surplus file, and any serial-number report. If the project also includes whole computers or servers, request recycling documentation for the remaining equipment so data destruction and material recovery are recorded together.

From pickup to certificate: four steps

    Tell us the quantity, drive types, and whether you need witnessed on-site shredding or secure off-site pickup. Fast pickup is available when route capacity allows; we will confirm timing for your project.

    Inventory: every drive logged

    On arrival, drives are counted and, when serial-number inventory is requested, each drive is logged by make, model, and serial number before leaving your facility. A receipt is issued on the spot.

    Destroy: physical shredding

    HDDs and SSDs are physically shredded to 2-inch fragments or smaller. The method is recorded in your certificate.

    Document: destruction records delivered

    A Certificate of Destruction is issued listing the date, quantity, asset types, method used, and our technician's signature. Serial-number inventory reports are attached on request, audit-ready.
